Educational Requirements for the Position
Associates Degree in a related field. Three years of related experience or experience in a related field. Certifications may be required. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position
Performs advanced specialist duties for the Office of the Registrar.
Primary Responsibilities
Performs specialist duties for the Registrar’s Office to include maintaining records, compiling reports, and policy interpretation regarding compliance areas, including TSI (Texas Success Initiative), NCAA (National Collegiate Athletic Association), and CPOS (Course Program of Study).
Provides departmental or university information to students, departments, and staff regarding compliance. Works collaboratively with various offices at the University to ensure compliance with federal, state, and university rules and regulations, as well as best practices. Requires knowledge of university policy, state and federal regulations, as well as catalog information, with the ability to communicate the information to campus staff and students as needed. Requires reasonable and adequate knowledge of Sam Houston State University’s degree plans at the undergraduate, graduate, and doctoral level and approved certificate programs. Prepares, reviews, revises, and distributes documents including manuals, guides, and other correspondence. Provides compliance support to campus advisors, campus staff, faculty, and students. Assists with internal and external training and updates, and maintains student records to remain in compliance. Assists with the review and evaluation of current procedures and identifies potential risks or common issues with the ability to communicate findings to supervisor. Contributes to decision making and establishing policies and procedures, within limits. Assists with cross-training efforts across teams and will assist with other assessment needs for the Registrar’s Office, as needed. Participates with federal/state audit findings and works to document processes, identify potential issues, and determine best solutions. Provides assistance in research necessary to ensure compliance knowledge is up to date and best practices are in place. Assists with system upgrade testing and resolution process testing. Assists in ensuring academic information regarding catalog, section, course title, course hours, course attributes, and capacities are accurate, and other projects. Performs Banner CAPP prerequisite maintenance. Implements best practices to improve efficiency of processes. Performs other related duties as assigned.
Other Specifications
Requires basic understanding of office operations and system functionality with experience in Microsoft Office or similar productivity software with the ability to select appropriate technology tools for tasks. Requires capability of sharing technical skills and knowledge with others. Must be able to identify problems and consider potential solutions. Verbal, non-verbal, and listening communication skills are required with the ability to interact with others individually and in groups and able to work well as part of a team communicating effectively with a variety of constituents. Requires a basic understanding of institutional policies, procedures, and resources, state and federal law, professional standards, student privacy issues, and student record keeping. Must have general comprehension of the various means of recordkeeping, related systems and able to identify interconnection of systems. Must have knowledge of locating and utilizing available resources to locate answers. Willingness to seek out and rely on the expertise of others both to improve decision-making and as a means of expanding expertise. Requires ability to integrate cultural awareness to assess one’s own skill set regarding equity and inclusivity and develop strategies to increase one’s understanding of other cultures.
Up to 20% of this position, over the fiscal year during off-peak periods, may be performed remotely as determined by the supervisor.
