Educational Requirements for the Position

Associates degree in a related field. Two years of relevant event planning experience or experience in a related field. Bachelor’s degree with experience in event coordination and/or higher education preferred. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position

Performs specialist duties or services for The Graduate School.

Primary Responsibilities

Coordinates program related events, such as Graduate Student Orientation, Graduate Student Appreciation Week, Graduate Student Awards Banquet, Three Minute Thesis competition, Graduate Advisor Semester Luncheons, and other events hosted by The Graduate School. Plans and organizes logistics for events ensuring smooth operation. Staffs events to ensure that all logistics and event details are implemented as planned. Ensures logistics for invited guests are clear and complete. Maintains project files, including documentation and correspondence. Reserves rooms by working with university staff assigned to those spaces. Orders food through catering contractor, Aramark. Responsible for overall marketing of The Graduate School. Creates event programs, agendas, and promotional literature. Manages the enhancement and maintenance of departmental website using Web Content Management System (Web CMS). Monitors the department’s web presence and ensures web pages are working effectively. Coordinates the marketing and promotion of events to increase participation. Manages The Graduate School’s social media presence, to include Facebook, Instagram, and Twitter. Performs other related duties as assigned.

Maintains contacts with personnel. Requires excellent communication skills and a proven track record of success in collaborative work. Requires a general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software. Must be able to apply policies and procedures and solve routine problems of a repetitive nature. Must be creative, strategic, and an analytical thinker with the ability to manage multiple projects. Requires the ability to respectfully work, communicate, and provide leadership within a diverse campus community.

Up to 20% of this position, over the fiscal year during off-peak periods, may be performed remotely as determined by the supervisor.
