Job Summary

The Fiscal Operations Analyst is responsible for coordinating and performing duties in processing, analysis, and documentation for Enrollment Services. Works closely with ASM and AVP to perform budget reconciliation, provide financial reports, monitor staff and student worker human resources activities, and clerical tasks for the Administrative Support Unit of Enrollment Services.
Key Responsibilities

  • Performs and coordinates administrative tasks in support of the monthly operating budget and financial reports for Enrollment Services (ES). Tracks monthly expenditures, performs account reconciliations and data analysis for various ES Accounts. Prepares travel requests, expense reports, and supporting claims for reimbursement. Works in tandem with Accounts Payable and Purchasing to fill orders.
  • Department HR: Serves as primary resource to the ASM and ES leadership team in reviewing personnel expenses and procedure development.
  • Prepares, coordinates and monitors to completion, work-order requests for Facilities (BBS), Telecom, Print Shop, Requisitions, in support of various projects/needs. Creates, monitors project plans and implement tracking systems as needed.
  • Student Assistants: hire, train, on-board, student workers. Review and develop process and procedures.
Knowledge Skills and Abilities

Demonstrated ability to perform complex clerical and organizational tasks. Proven ability to successfully utilize software tools at a high-level including Microsoft Word and Excel. Experience with Microsoft Outlook, Project, PowerPoint, and Access programs preferred. General knowledge of budget, personnel, and human resource matters to act as support to Budget and Personnel Coordinator. Proven ability to function, promote, and be successful in a team atmosphere - proven ability to be flexible, learn quickly, adapt to changing priorities, and work under demanding conditions. Proven ability to provide support to multiple managers utilizing time management, prioritizing and independent judgment skills with accuracy. Ability to interpret and apply policies and procedures independently and use judgement and discretion to act when precedents do not exist. Ability to troubleshoot most office administrative problems, research and gather information to respond to problems that arise in the related work areas. Ability to analyze operational and procedural problems, develop recommendations and evaluate proposed solutions. Treats all customers (students, faculty, and staff colleagues) with dignity and respect, empathy, fairness, and professionalism, consistent with the university mission, values and strategic vision. Ability to work with all staff and managers in ES Dept and display a strong customer service style approach. Support a successful team atmosphere. Ensures operational integrity and continuity by maintaining detailed descriptions of responsibilities, ranging from daily tasks to strategic activities and outcomes, and makes them available to supervisor. Ensures quality, usability, and integrity of system data by working within approved processes and testing procedures.

Equivalent to five years of administrative support experience required. Bachelor's degree or equivalent preferred.

Compensation

The salary range for this classification is $3,681 to $6,034 per month.

Time Base

Full-time temporary position for one (1) year with no permanent status granted. Temporary assignments may expire prior to the ending date.
