Job Summary
This position supervises the daily operations of the Department office and provides administrative support for the department and its members. The incumbent interprets and implements operating policies and procedures of the Department as well as of the College and the University, serving as a resource person for all personnel and fiscal operations of the Department.
Key Responsibilities

  • Department office management: Is responsible for the general operation and the clerical procedure in the Department office, maintaining a smooth-running, functional operation.
  • Scheduling: Work as scheduling coordinator to assist the department chair who prepares the academic class schedule. Uses the appropriate software for entering and modifying all relevant information for schedule building.
  • Communication: Communicates department policy clearly and effectively. Provides guidelines and support for department personnel to properly refer or answer student and visitor walk-in and phone inquiries.
  • Personnel: Assists the hiring committee chairperson. Maintains working files of all department Tenured and Tenure-track faculty, lecturers, part-time faculty, staff, teaching associates, graduate assistants, work-study students, and student assistants.
  • Special Events and Activities: Assists the department chair in the preparation of various departmental events and the yearly Department newsletter by compiling photographs and data.
  • Budget and Fiscal Records: Assists Chairperson in any necessary accounting activities.


Knowledge Skills and Abilities
The incumbent must have thorough knowledge of academic office environment, which includes University policy procedures, and guidelines, class scheduling, materials needed for development of courses and degree programs, fiscal and budget matters, personnel, hiring, development, and carrying out special events. The incumbent must be able to help and take over tasks of those under her supervision as needed. The incumbent must be able to communicate well with, and contribute to a positive university experience for students, faculty, staff, visitors, and other personnel on campus. The incumbent must be able to perform mentally demanding work amid constant interruption distractions. This requires good organizational skills, flexibility, the ability to set priorities, and the ability to use discretion and work independently. The incumbent must possess an excellent command of the English language

Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."
Education and Experience
Required:

Equivalent to five years of administrative support experience.

Preferred:

Four years of responsible office management in an academic office setting.

Compensation
The targeted salary may be set as high as $4,300 per month based on experience. The salary range for this classification is $3,440 to $5,639 per month.

Time Base
Full-time temporary position for two years with no permanent status granted. Temporary assignments may expire prior to the ending date.
