Job Description

JOB SUMMARY: Under the coordination of the Director of First Year Admissions, the Assistant Director of Admissions Operations & Data Specialist serves as the key link between the admissions recruitment and operations teams. The Assistant Director of Admissions Operations and Data Specialist w orks with IT to support application maintenance, testing, and data integrity. The Assistant Director of Admissions Operations and Data Specialist performs a variety of key operations, data entry, event support, and administrative functions for University Admissions, including application preparation, routine data entry and/or information retrieval tasks. This includes performing processes necessary to load data files directly into the Admissions database while performing quality assurance to ensure data integrity. The Assistant Director of Admissions Operations and Data Specialist will performs a variety of routine and complex work such as, but not limited to manage and maintain data systems along with preparing weekly, monthly and annual admissions and recruitment reports.


  • Familiar with data query tools, statistical analyses, and data management systems used in the undergraduate Admissions office as well as the University in general. Such tools include but are not limited to PeopleSoft, Technolutions Slate CRM.
  • High level of proficiency with Microsoft Office including Excel, PowerPoint and Word as well as Microsoft Outlook calendaring and email
  • Manage the import and export of data to Slate CRM, including inquiry and applicant data from both internal and external sources. Maintain data integrity of all admissions files, applications, and decisions.
  • Manage the institutional online applications with Slate, EAB, and People Soft. Including annual updates, process improvements and imports
  • Ensure all electronically received application documentation is properly assigned and uploaded to the departments database
  • Perform routine clean-up and corrections to verify accuracy of data in student information system
  • Clarify questionable or incomplete data on source documents
  • Ensure data is entered accurately.
  • Review freshman applications loaded via automated batch process, confirm information loaded correctly.
  • Answer telephone in professional/friendly manner. Provide callers with information regarding application status/events/etc. Transfer calls to appropriate University Office (as necessary)
  • Assist with accurately entering admissions decisions. Cancel application as necessary. Matriculate and Term Activate applicants that have accepted the offer of admission.
  • Assist with mailing admissions decision letters or special event mailings
  • Assist with the set-up of Special Events.

EDUCATION: requires a Bachelor’s Degree. Applicants who do not possess the required education may substitute experience in a field related to the position.

EXPERIENCE: A minimum of five (5) years of professional experience in an institution of higher education required, admissions experience preferred.

  • Be proficient with computer technology (esp. PeopleSoft and Slate) to access data, maintain records, generate reports, and communicate with others
