Job Summary

As the Assistant Registrar, Athletic Evaluation for Student Records, this position is responsible for the day-to-day administrative oversight of processing of student-athlete academic records, including but not limited to admissions, competition eligibility, compliance monitoring, and progress to degree. They serve as the primary Enrollment Services contact and the campus subject matter expert on NCAA, Big West Conference, and other NCAA conference eligibility criteria and rules, ensures compliance and reports any concerns or violations to the campus NCAA Compliance Officer in CSULB Athletics. In addition, this position is responsible for maintaining stable, efficient, and accurate student information systems and reporting utilized for Athletics academic eligibility, such as general module support and processing; table setup; in depth system testing, analysis, and troubleshooting; reporting development and enhancements; issues triage; security maintenance; and end user documentation and training for staff.
Key Responsibilities

  • Day to day administrative oversight of processing of student-athlete academic records, including but not limited to admissions, competition eligibility, compliance monitoring, and progress to degree. Serves as primary Enrollment Services contact and campus subject matter expert on NCAA, Big West Conference, and other NCAA conference eligibility criteria and rules, ensures compliance and reports any concerns or violations to campus NCAA Compliance Officer in CSULB Athletics.
  • Maintenance, implementation, configuration, updating, testing, and overall support of Athletics module student information systems.
  • Plans, organizes, and manages the work of the (2) Evaluator I staff assigned to the student-athlete admissions and eligibility support functions, including oversight of Club Sports eligibility processing.
Knowledge Skills and Abilities

Expert knowledge of admissions policies and procedures in the context of the student-athlete population. Expert knowledge of rules and regulations promulgated by both the NCAA and Big West conference regarding the eligibility of student-athletes to practice and compete. Demonstrated ability to supervise effectively, train, and manage staff. Demonstrated ability to work under pressure, balancing multiple priorities and deadlines. Knowledge of student information systems and academic advising and/or student records. Excellent analytical skills and experience troubleshooting and resolving complex system-related issues. Demonstrated ability to analyze and evaluate situations and data, make accurate recommendations on appropriate course of action, leading to the development, implementation, and/or improvement of administrative policies, procedures, practices, and/or programs.

Demonstrated ability to interpret and apply academic and administrative policies and procedures. Demonstrated ability to organize and plan multiple priorities and to carry out assignments without detailed instructions. Functional understanding of database structures, information systems, cloud-based systems and data extraction. Knowledge of and ability to use: MS Word, MS PowerPoint, MS Excel, Camtasia Studio, Visio, Service Now software. Ability to analyze user needs and translate into appropriate complex rules in support of business processes. Able to learn new systems and feature updates quickly and translate to communications, tutorials, and documents that are applicable and easy to understand for campus users, especially advising and support staff. Excellent communication skills, both verbal and written. Demonstrated ability to create and deliver effective software and program documentation, communication, and training materials, both online and in person. Communicates with the University community in a civil manner. Demonstrated ability to communicate and to establish and maintain successful working relationships with Enrollment Services leadership, peers, faculty, and students within a diverse campus community.

Education and Experience

Equivalent to a bachelor's degree in applicable field and three (3) years of professional experience in Students Athletics required (admissions and records, monitoring admissions to degree, conference compliance, in Higher Education).

Compensation

The targeted salary may be set as high as $5,500 per month based on experience. The salary range for this classification is $5,025 to $7,159 per month.

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

Time Base
