Job Summary
Under the supervision of the Director of New Student & Family Programs, the incumbent serves as the Parent & Family Programs (PFP) and First-Year Beach Connections (FYBC) coordinator that involves developing programs to engage parents and first-year students at The Beach. As the coordinator for Parent & Family Programs, the incumbent engages parents and other supporters by providing information, communication, and opportunities to support their student's academic, social and personal success. As the coordinator for FYBC, the incumbent provides students with resources to support their successful transition and acclimation to the university with the goal leading to persistence and a timely graduation. The incumbent also provides staff and administrative support to New Student Orientation (NSO) as assigned including supporting check-in and staffing events throughout the day.
Knowledge Skills and Abilities
Experience in a student affairs organization along with an understanding of university structure and protocol. Skill in sound time management including prioritizing assignments to complete work in a timely manner. Ability to maintain equanimity during peak times and flexibility to adjust to changing priorities, workload, competing requirements, and continual interruptions. Ability to work weekends and a flexible work time as needed and determined by operational needs. Ability to consistently report to work on time prepared to perform the duties of the position. Ability to lift boxes or items weighing 25 lbs. to and from event locations. Resourcefulness and creativity in managing the large number of high-profile campus-wide projects and demanding schedules. Experience planning and coordinating large events/programs, managing event calendars, arranging meetings, establishing agendas, and participating in meetings with small and large groups of people. Skill in working independently with minimal direction, in setting priorities and schedules and in identifying and adhering to departmental objectives. Ability to apply independent, reasoned judgment, discretion and initiative to address problems and develop practical, thorough and technically accurate solutions. Experience with working with a diverse group of individuals and multicultural university environment. Demonstrated skill in assisting and speaking with persons of various ages, socio-economic, cultural and/or education backgrounds. Interpersonal skills to establish and maintain cooperative working relationships; provide excellent customer service to the campus community, including students, staff, faculty, parents/families, vendors, donors, stakeholders, and other outside agencies. Ability to exercise sound judgment and handle confidential matters with tact and diplomacy, and to maintain confidentiality of information as needed or to protect the rights of individuals or the University. Ability to work effectively and productively as part of a resourceful team and dynamic environment Excellent communication skills (e.g., one-on-one, small groups, large group presentations) with the ability to effectively handle a broad range of interpersonal contacts including with higher level personnel and those of a sensitive nature internally and externally. Must be able to interact in a positive, professional manner with campus community, including students, staff, faculty, parents/families, vendors, donors, and stakeholders especially when under pressure. Communicate with the University community in a civil and articulate manner. Ability to learn, operate, and manage new student texting platform and Beach Family Portal. Experience with a broad range of Microsoft Programs (e.g., Outlook, Teams, Excel, PowerPoint, Visio, etc.); Adobe Software (e.g., reports, forms, brochures, flyers, agendas, minutes, advertisements, etc.); including Internet search engines, CMS software applications, PeopleSoft, Zoom webinars and meetings. Knowledge of HTML is preferred. Experience using social media channels, platforms and programs and their audiences to allow for targeted messages including social media technical skills. Excellent writing and editing skills (including grammar, sentence construction and vocabulary) to compose and proofread professional level copy of letters, proposals, reports, meeting notes, invitations and announcements. Proven ability to learn, interpret, apply, and develop a wide variety of university policies and procedures relating to high-level office administration standards, policies, and issues. Ability/willingness to commit to all university policies, procedures and guidelines including but not limited to safety, civility, Information Security and non-discrimination policies and procedures. Ability to research and interpret CSU and campus policy, as required. Skill in developing, implementing and assuring compliance with office and University policies and procedures while maintaining good working relationships with staff at all levels within and external to the University. Demonstrated skill in conducting research, developing reports, and presenting findings. Skill in analyzing information, problems, situations, practices and procedures to define problem or objective, identify relevant concerns or factors, formulate logical objective conclusions, recognize alternatives and their implications and in generating solutions to problems as they arise.
Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."
Education and Experience
Equivalent to five (5) years of administrative support experience required. Minimum of two years of experience of student affairs work, preferably in Student and Family Programing. Possession of a valid California Driver's License in order to operate a university vehicle and drive from various program location to various satellite areas.

Compensation
The salary range for this classification is $3,681 to $6,034 per month.

Time Base
Full-time temporary position for one (1) year with no permanent status granted. Temporary assignments may expire prior to the ending date.
