Job Summary

This position performs administrative and recruitment related tasks in the Faculty Affairs unit. Responsibilities include supporting faculty recruitment, appointment, and on boarding activities for academic personnel, responding to process inquiries from college and department staff, providing general office support, and other duties as assigned.
Key Responsibilities

  • Supports academic personnel employment processes, recruitment, and activities.
  • Reviews hiring documentation/information; retains them in compliance with records retention standards.
  • Assists with the preparation of recruitment materials and posting to appropriate job board/websites.
  • Serves as point of contact for submitting and following up on IT service requests (i.e. department computer and/or printer issues, hot spot requests, internet access issues, etc.)
  • Provides administrative support to Faculty Affairs unit.
  • Maintain Faculty Affairs web pages.
  • Monitors Faculty Affairs email inbox daily and responds or escalates as appropriate.
Knowledge Skills and Abilities

Through, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to effectively handle a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."
Education and Experience
  • Equivalent to four years of administrative support experience required.
  • At least one year of experience as a recruitment assistant or related role in a college or department preferred.
  • Experience with recruiting software, as well as Human Resource Information Systems (HRIS) or Human Resources Management Systems (HRMS) preferred.
  • Academic personnel process management system experience (preferably Interfolio, Oracle/PeopleSoft) preferred.

Compensation

The salary range for this classification is $3,505 to $5,508 per month.

Time Base

Full-time temporary position for (1) year with no permanent status granted. Temporary assignments may expire prior to the ending date.
