Educational and Experience Requirement:
Associates degree in a related field. A minimum of two years relevant work experience, including at least one year of experience as a secretary or its equivalent. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position:
To provide advanced clerical and secretarial skills for the performance of duties of a difficult or complex nature which require the frequent use of discretion and independent judgment. Responsible for serving in a secretarial capacity for an academic department chair and faculty members or an administrator or supervisor of a department, administrative office, or project.
Primary Responsibilities:
Performs a variety of clerical and secretarial duties such as: exercises responsibility for the utilization of correct format, grammar, punctuation, and spelling; typing a variety of material. Maintains bookkeeping records pertaining to budgets, grants and contracts as required by the supervisor; makes arrangements for meetings and conferences. Notifies participants of dates, times, and locations, and takes and transcribes the minutes of such meetings and conferences as directed by the supervisor. Receives and screens visitors; makes appointments for the supervisor; maintains confidential records and files; composes routine correspondence; receives, sorts, and distributes mail; and searches for, assembles, and organizes materials required by the supervisor. May assist in the preparation of quarterly, annual, and other periodic reports. Performs other related duties as assigned.
Other Specifications:
Use of computer, copier, printer, and standard equipment common to most offices. Proficiency in the use of English, spelling, and business mathematics. Work is performed mostly in a private office area with an almost complete absence of disagreeable working conditions. May spend but not necessarily limited to from 25 percent to 50 percent of time on routine contacts with others such as receiving visitors and providing information in person or by telephone to other departments and offices or to the general public.
Up to 20% of this position, over the fiscal year during off-peak periods, may be performed remotely as determined by the supervisor.
