Job Summary

Under supervision of the Associate Vice President of Health and Wellness, this position offers analytical, administrative, and confidential support to the leadership team, SHS office, and Associate Vice President. The position involves managing scheduling, meeting preparation, public relations, writing, communication, and Division programs, and University projects, some of which are sensitive and confidential, including HR matters. The role is critical to the success of Health and Wellness and Student Health Services. Additionally, the job holder ensures that services are inclusive, equitable, and culturally sensitive to improve campus life. The incumbent approaches all communication and service activities with a student-centered and equity-focused mindset.
Key Responsibilities

  • Provide administrative support to the AVP of Health & Wellness, the Leadership Team, and other departments as directed by the supervisor.
  • Provide Administrative Support of General Office Operations.
  • Perform tasks related to timekeeping, human resources, credentialing, and fiscal support.
Knowledge Skills and Abilities

Must be detail oriented. Ability to manage multiple projects and responsibilities with differing timelines and deadlines. Ability to demonstrate sound judgment and make decisions. Excellent communication skills (both verbally and in writing) with the ability to effectively handle a broad range of interpersonal contacts including higher level personnel and those of a sensitive nature, internally and externally. Must be able to interact and communicate in a positive, civil, articulate, and professional manner with University community, including staff, faculty, donors, etc. especially when under pressure. Skill in sound time management including prioritizing assignments to complete work in a timely manner. Flexibility with workload changes, deadline pressures, competing requirements, heavy workload, and constant interruptions. Ability to communicate and work effectively with an ethnically and culturally diverse campus community. Ability to exercise sound judgment and handle confidential matters with tact and diplomacy, and to maintain confidentiality of information as needed or to protect the rights of individuals or the University. Some evenings and/or weekends. Ability to operate standard office equipment - Computer, fax, multi-line telephone, paging systems, copier, scanner, and shredder.

Ability to apply independent, reasoned judgment, discretion and initiative to address problems and develop practical, thorough and technically accurate solutions. Skill in working independently with minimal direction, in setting priorities and schedules and in identifying and adhering to departmental objectives. Experience with a broad range of Microsoft Office Suite (including Excel, PowerPoint, Visio) and Adobe software to ensure that incumbent will be able to prepare a wide variety of correspondence, reports, forms, brochures, flyers, agendas, minutes, advertisements, and text for printed materials and web pages. Knowledge of Adobe Creative Suite, Adobe Contribute, and html a plus. Experience maintaining an administrator's calendar, arranging meetings, establishing agendas, and participating in meetings with small and large groups of people. Ability to provide excellent customer service in a polite and timely fashion to the Campus community, vendors, and other outside agencies. Ability to identify what customer needs and reroute them to the correct department; ability to relay customer requests and complaints accurately and appropriately; and describe and convey services provided by the Division. Excellent writing, proofreading, and editing skills (including grammar, sentence construction and vocabulary) to effectively write and present reports, letters, proposals, meeting notes, invitations, and announcements. Skill in reading Standard English for understanding information (e.g., business correspondence, legal and contractual documents, and University manuals, policies, procedures, and regulations). Ability to use negotiation and persuasion skills to achieve results and expedite projects. Ability to work as part of a team through close collaboration with colleagues and coordinate with others. Experience planning, coordinating, and working at special events. Handle and prioritize multiple tasks and meet deadlines. Resourceful and creative in managing a large number of high profile campus-wide programs/events and demanding schedules. Ability to lift boxes or items weighing ~25 lbs. to and from event locations. Ability to work weekends and a flexible work schedule as needed and determined by operational needs.

Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."
Education and Experience
  • Equivalent to 5 years of related administrative support experience required.
  • Equivalent to a bachelor's degree strongly preferred.
  • Experience providing support at the Executive preferred. Experience working with a diverse group of individuals and multicultural university environment preferred. Demonstrated skill in assisting and speaking with persons of various ages, socio-economic, cultural and/or education backgrounds preferred.
Licenses / Certificates

Possession of a valid California Driver's License in order to operate a University vehicle preferred.

Compensation

Hiring Range: $3,681 - $5,000 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: $3,681 - $6,034 per month.

Time Base

Full-time temporary position for (1) year with no permanent status granted. Temporary assignments may expire prior to the ending date.
