Educational and Experience Requirement:
Bachelor’s Degree in related field. Four years relevant administrative assistant experience or experience in a related field. Experience in Higher Education is desirable. A working knowledge of Sam Houston State University would be helpful. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position:
Performs advanced and complex administrative support duties for the Office of the President.
Serves as high-level customer service representative in the Office of the President. Performs administrative support duties and primarily serves as the receptionist for the office. Provides exceptional customer service, directing phone calls and walk-in customers, and scheduling appointments for executives. Receives and distributes mail. Handles routine and special correspondence. Performs data entry, verifies data, and files. Maintains adequate records. Prepares reports and documents for internal and external constituents. Receives inquiries and responds to questions and request of a complex or confidential nature, referring any such request which are controversial or specialized to the appropriate official. Assists with budgets and processes documents required for purchasing, procurement, and travel. Maintain an inventory of the Office of the President’s office supplies, assets, and property. Research issues of importance and sensitivity for preparation and dissemination of information to constituents. Works with vendors for maintenance of printers, copiers, and other office equipment. Solves routine problems to complete tasks of repetitive nature. Assists with meeting planning details; assembles and organizes materials. Prepares Cherwell IT requests and Facilities work order requests for office. Assures compliance with federal and state laws and university rules and regulations as they apply to areas of responsibility. Prepares, reviews, revises, and distributes documents and correspondence. Assists the Chief Strategy Officer. Performs other related duties as assigned.
Communicates with other University departments, local vendors, and off-campus agencies. Ability to organize work effectively and prioritize objectives with a high level of independent judgment and initiative. Ability to integrate resources, policies, and information for the determination of procedures, solutions, and other outcomes. Skilled in directing multiple tasks, setting priorities, and organizing operations. Should be a self-starter and be able to function independently. Ability to establish and maintain effective working relationships with administration, faculty, staff, and the public. Must exercise discretion and utilize strong reasoning and problem-solving skills. Strong written and oral communication skills. Requires knowledge and proficiency of Microsoft Office Suite.
