Educational Requirements for the Position

Associates Degree in related field. Three years relevant administrative assistant experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position

Performs advanced administrative assistant duties for the Department of Language, Literacy and Special Populations.

Primary Responsibilities

Provides clerical, administrative and project support services for the Department Chair, faculty and students of the School of Teaching and Learning and its programs. Adheres to and maintains currency with University policies and procedures. Duties include, but not limited to, ensuring departmental hours of operation; hiring and developing work schedules for student workers; assisting with faculty hires; course scheduling; student registration; scholarship disbursements; maintains documentation and personnel records for faculty annual reviews and faculty evaluation system (FES) reviews, tenure and promotion reviews, and post-tenure evaluations. Position duties also include processing departmental payroll actions; attend meetings and take notes; compiles, tracks, and reviews data and reports; maintains frequent contacts for administrator with University officials; maintains complex personnel, administrative, or other special reports and develops office forms or procedures; may be responsible for extensive research on various departmental projects. Performs other related duties as assigned.

Other Specifications

Use of computer, copier, printer, typewriter, and other standard equipment common to most offices. Proficiency in the use of English, spelling, and business mathematics. May spend up to but not limited to 25% of time on important contacts which involve the reception of, or providing information, to department heads, key executives, public officials, and distinguished visitors. Flexibility to work evenings and weekends when assistance is required at specific events.
