Educational Requirements for the Position

Associates degree in related field. Two years relevant administrative assistant experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position

Performs administrative assistant duties for the Facilities Business Services department.

Primary Responsibilities

Acts as a liaison between Facilities Management and University departments. Ensures excellent customer service and maintains high customer satisfaction. Handles service requests and dispatches technicians accordingly. Manages schedules, reservations, work orders, renovation estimates, and keys. Provides direct customer service by either telephone, email, or in person. Responds promptly to customer inquiries and provides information and assistance. Performs general administrative functions related to customer service. Updates and maintains various records and runs monthly reports. Gathers data and compiles for reporting and billing purposes. Handles various customer service activities and provides information, answers questions and resolves issues accurately and efficiently by interacting directly with customers either by telephone, email, or in person. Performs complex clerical duties and maintains various database information to monitor Customer Service activities. Performs other related duties as assigned.

Other Specifications

Requires a general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software. Must be able to apply policies and procedures and solve routine problems of a repetitive nature. Strong customer service skills, problem solving and communication skills (via phone, email, and in person). Ability to organize and multi-task. Working knowledge of help desk software and databases.
