Job Summary:
The Program Coordinator is a member of the Department of Safety & Security Administrative division, reporting to the Chief of Staff /Director of Planning and Program Initiatives. The department’s Administrative division advances the strategic objectives of the office of the Senior Associate Vice President and Chief of Police. The Program Coordinator position provides the opportunity to work with internal and external partners on a wide range of projects that involve several key areas, including department and University initiatives, strategic communications, and human resources programs. As a member of the Department of Safety and Security team, the Program Coordinator will provide support for administrative operations by coordinating and executing plans and new programs, recommending goals, and monitoring completion of ongoing objectives.

Specific Responsibilities:
Administration

  • Organizes and coordinates projects, which may include creating timelines and developing a tracking system for annual initiatives/objectives.
  • Ensures that program/project mission, guidelines, policies, and procedures are implemented and maintained.
  • Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives.

Program Development

  • As directed, coordinates program/project meetings and presentations based on goals/objectives; provides updates on critical program/project milestones.
  • Identifies and obtains guidance from department senior staff and University partners as needed to advance current and new programs.
  • Collects, analyzes, and reports information from reviews of documents, University policies, and other resource documents; prepares reports, and creates and maintains standard spreadsheets.

Communications

  • Ensures application of consistent guidelines and process for review/approval of department communications and digital media (website, etc.).
  • Maintains communication templates for department divisions.
  • Incorporates relevant website references into program/project aspects as appropriate and updates standard information within the content management program.

Human Resources

  • Assists with implementation of human resources programs.
  • At the direction of the Chief of Staff/Director, coordinates portions of talent management, including position management documentation and the onboarding process.
  • Administers human resources processing solutions.

Budgets and Financial

  • Performs account research as needed; obtains additional information from, or provides instruction and guidance to, department members and vendors for requests to Chief of Staff/Director for payment, expense, or requisition approval.
  • Verifies accuracy of charges prior to presenting requests to Chief of Staff/Director for approval.
  • Under the supervision of the Chief of Staff/Director, assists with financial data and associated matters involving NUFinancials.

Events

  • Coordinates meetings, including presenters and agendas.
  • Ensures event details including communication, venues, materials, and technology are arranged and completed in an appropriate and timely manner.

Miscellaneous

  • Performs other duties as assigned.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
  • 1 year program/project administration or other relevant experience.

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Excellent written/verbal communication and interpersonal skills with the ability to interact with diverse internal and external constituents; writes in a clear and well-organized manner.
  • Must demonstrate good judgement and strong attention to detail and timelines; the ability to manage, organize, and prioritizes simultaneous tasks and to anticipate and plan for potential tasks needed.
  • Must be able to adapt to changing priorities and adjust projects and tasks to meet different situations; takes initiative to improve project results and to problem-solve.
  • Intermediate knowledge of Microsoft Office Suite, including Excel, PowerPoint, Visio Professional, and SharePoint.
  • Proficient in software utilized for payment approval and processing.

Preferred Qualifications:

  • Experience working with or for an academic institution.
  • Experience working with public safety organizations.
