In the role of Administrative Assistant working in Milwaukee, Wisconsin. The Administrative Assistant under general direction, perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures.

Responsibilities:

  • Anticipate and provide professional, accurate administrative support to faculty and staff as needed. Coordinate calendars/appointments/schedules, meeting/travel arrangements, itineraries, reimbursements, travel/vacation requests, etc. Responsible for tracking and submission of credentialing. Prepare and edit correspondence, reports, manuscripts and other materials from a variety of sources including, but not limited to: dictated transcription, word processing, spreadsheets and database applications.
  • Responsible for updating and revision of clinic and provider schedule templates in QGenda as needed.
    • Maintain comprehensive database and files related to the section (scholarly activity, vacation, travel and expenses, certifications and licensing, etc.); faculty and fellow presentations, publications, grants and other documents; maintain section faculty CVs in the Faculty Collaborative Database and various other online profiles as well as faculty website profiles and CVs within the CHW/MCW system.
    • As needed, answer telephones and greet visitors, responding to routine and non-routine inquiries, and assuring timely referral or resolution of issues. Maintain confidentiality of department and patient information.
    • Act as backup for fellow administrative staff. Respond to various situations in the work of the division or department.
    • Represent MCW, CHW and all other vested constituents in a professional manner in accordance to all policies and procedures.
    • Perform other duties as assigned.

Preferred Schedule:
Full-time role with expectations for coverage during core business hours and flexibility required as necessary to accommodate business needs.

Minimum Qualifications:

Appropriate education and/or experience may be substituted on equivalent basis

Minimum Required Education: High school diploma

Minimum Required Experience: 3 years of experience
