Job Description

Overview:
The ClipperCard Manager is a key contributor to the success of dining services program year-round for students, faculty, staff, as well as primary administrator for CBORD Odyssey Privilege Control System software application. The ClipperCard Manager develops management information reports to guide strategic and tactical planning by university leadership, including VPs of Finance and Facilities, and Student Life. This role directs student employees, contractors, organizes operations, develops marketing and communication messages, for all aspects of ClipperCard program; serves as a key contributor to success of auxiliary services and campus activities including dining services, bookstore, laundry, off-campus merchants, by enabling privileges and spending accounts; and manages the CBORD vendor relationship, affiliated hardware/software, generates related reports. Collaborates constantly with Accounts Payable, Student Accounts, Financial Aid, Residence Life to manage patron accounts. Key to financial reconciliation and the administration of multi-million-dollar reimbursements and payments to partner merchants using Odyssey PCS, PeopleSoft General Ledger and student financial system. Assists in providing cardholders a roster of business partners who offer goods and services to via ClipperCard pay mechanism, including on-campus and off-campus in the greater Salem community.

Duties and Responsibilities:

(E) - Essential Function

  1. (E) Direct and manage the delivery of ClipperCard program. Set and communicate program priorities and performance standards. Hire, train, schedule and supervise student employee staff. Continually assess all operations utilizing ClipperCard to develop and recommend program expansion and improvements. Develop and maintain automated or manual systems and procedures to facilitate program operations. Maintain documentation of policies and procedures.
  2. (E) Support growth and improvement in the dining and summer conference operations through access, sophisticated reporting, and data analysis. Participate in meetings with vendor. Provide timely management reporting to guide decision making by university leadership and vendor.
  3. (E) Responsible for ensuring maintenance and development of the ClipperCard system components, CBORD Odyssey Privilege Control System, MICROS 3700 Cash Register System and Papercut (pay for print solution), including server software upgrades, and interfaces with all other university computer systems. Integrate with Navigate and other university information systems. Responsible for the selection, installation and testing of all ClipperCard hardware and software updates, as well as the ClipperCard programming and distribution channels of reports used by ClipperCard office staff, external SSU departmental managers, and outside contractors. Make recommendations for upgrades and maintenance scheduling for CBORD equipment and software. Able to procure, program and/or troubleshoot Wi-Fi cameras, cell phones, iPads, and various other hand-held technology, as well as specialty ID card printers, and able to train others in their use.
  4. (E) Develops and applies internal control policies and practices, which includes monitoring the operating environment, generating and analyzing audit reports, recommending and/or executing corrective measures when needed
  5. (E) Serves as university liaison with One Card vendors, including laundry, Sodexo, vending, Pepsi, etc. to resolve hardware/software problems or issues effecting operation of the ClipperCard program. Submits Schooldude tickets for Salem State Facilities department support, including electrical, plumbing support.
  6. (E) Conducts a monthly reconciliation with other staff for the PeopleSoft Student Financial system, Odyssey PCS System and General Ledger, develops and maintains procedures to minimize variances.
  7. (E) Oversees accounting, auditing and billing for office, as well as contractual payments to contractors. Responsible for generating payment vouchers to reimburse ClipperCash balances to students authorized to get refunds upon graduating, etc.
  8. (E) Represents ClipperCard program with other departments such as Information Technology Services, general accounting, and student accounts to ensure proper planning and handling of ClipperCard-related transactions and entities
  9. (E) Accountable for all ClipperCard related general ledger accounts including both Meal Plan and ClipperCash accounts receivable and payable
  10. Assist in development and performance monitoring for department’s operational budget.
  11. Establishes acceptable customer service standards, assure the standards are met in interactions with all students, parents, faculty and staff.
  12. Assist in marketing and communication efforts to support for ClipperCard program, including social media channels, such as Facebook and Instagram.
  13. Participates in CBORD User Group programs (regional and annual conference) to maintain knowledge of CBORD upgrades and future plans, which may require overnight travel. U Conference, which may require overnight travel. Also utilizing list serves and attending the annual NACC
  14. Demonstrates sensitivity to students, faculty and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation and socioeconomic backgrounds.
  15. Demonstrates sensitivity to students with a diversity of learning styles.
  16. Serves as a role model and mentor for students as appropriate.
  17. Serves on various committees as assigned.

Required Qualifications:

  • Bachelor's Degree in appropriate discipline with preferred concentration in Business Administrations or Information Systems.
  • Minimum of five years of experience in student or financial services, administering an enterprise campus privilege software system
  • Two years of managerial and supervisory experience

Preferred Qualifications:

  • Demonstrable experience of various roles in planning and administration of integrated enterprise information systems components, including hosted solutions, server administration, application administration, network and security of terminals and transaction processing devices
  • CBORD Odyssey Privilege Control System
