Educational Requirements for the Position
Associates Degree in related field. Three years’ experience in an office environment with considerable computer experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position
Manages membership processing for Advancement Services, including data entry, reporting, planning and implementing process changes. Oversees gift entries, including data entry and training. Performs complex data entry, reporting, and database maintenance.
Primary Responsibilities
Manages all aspects of membership processing. Assists with training and managing gift processing to ensure accuracy and timeliness of data entry, tracking reporting, and acknowledgment of received gifts. Assists with the development of analytical reporting in RENXT to further fundraising efforts. Performs inspections and audits. Plans, develops, implements, coordinates, and monitors programs or services. Provides departmental gift reports to University departments and staff. Assists in developing departmental policies. Interprets and applies Internal Revenue Service (IRS) tax laws and regulations as they apply to gift administration. Generates various reports as well as the preparation of required IRS documents. Maintains the Advancement Services procedure manual. Updates and tracks biographical information with a complete level of accuracy, including, but not limited to name changes, address changes, salutations, employment information updates, and phone and email changes. Creates new records or updates existing records in the database when necessary. Utilizes the internet and other data resources for phone, email, and address searches and/or verifications. May be responsible for planning, directing, supervising, and participating in special projects. Performs other related duties as assigned.
Other Specifications
Requires exceptional written communication skills, including editing and proofreading with thorough knowledge of English grammar, punctuation, and spelling with strong attention to detail. Must be able to organize and prioritize work, be proactive, take initiative, resolve problems, follow tasks through to completion, and simultaneously manage multiple priorities to ensure goals are met in a timely manner. Requires the ability to use judgment and discretion and maintain detailed records and files. Must be able to work on multiple projects simultaneously and coordinate, prioritize and monitor projects to completion. Requires the ability to work in a fast-paced environment and adapt quickly to change with the ability to make complex decisions, problem solve, and work cooperatively with diverse individuals. Requires prior database, data entry, and gift processing experience, preferably with Raiser’s Edge with demonstrated proficiency in Excel, Word, and the Internet.
Up to 20% of this position, over the fiscal year during off-peak periods, may be performed remotely as determined by the supervisor.
